1. Who is responsible for your information
Clean Your Clutter Ltd is the data controller for information collected when you enquire about, book or receive our domestic cleaning, decluttering and home support services, or apply to Giving Back. We are registered in England and Wales, company number 15628538. Our registered address is 3 Shipley Mill Close, Stone Cross, East Sussex, BN24 5PY. Our ICO registration is ZB795115.
Contact us about privacy at info@cleanyourclutterltd.com or telephone 01323 387604. This policy explains our approach under the UK GDPR, Data Protection Act 2018 and Privacy and Electronic Communications Regulations (PECR).
2. Information we collect
Enquiries and clients: name, email, telephone, residential address or area, service preferences and the notes you choose to provide about your home. Booked services may also require appointment, quotation, payment and invoice records.
Giving Back applications: applicant contact details, address, circumstances, uploaded property photos, social media consent and acknowledgement that a free clean is not guaranteed. If you apply for someone else, make sure they know about the application and agree to sharing their information. Please do not include unnecessary medical details or other sensitive information.
Our optional service matcher uses the description you enter to suggest a service. Do not enter names, addresses, medical details or other identifying information into it. Recommendations do not determine Giving Back eligibility or replace a conversation with our team.
3. Why we use information and our lawful bases
Contract and steps at your request before a contract: responding to enquiries, providing quotes, arranging consultations, bookings and delivering services.
Legal obligation: maintaining accounting and tax records, responding to lawful requests and meeting our legal duties.
Legitimate interests: handling Giving Back applications with care, managing service quality and protecting our website against misuse, balanced against your privacy rights.
Consent: optional analytics and the agreed use of property photographs or videos on social media. Where sensitive information is needed, we will explain why and obtain explicit consent or establish another appropriate legal condition before processing it. You may withdraw consent by contacting us. Withdrawal does not affect processing that was lawful before withdrawal.
4. Giving Back photographs and social media
Application photos are private and are used to review your application. Submitting them does not make them public. We record the required media-consent and no-guarantee acknowledgements separately. Before publishing any agreed photographs or footage, we take care to avoid identifying you or showing your address or private documents without specific permission.
We review applications at the start of each month. Unselected applications remain available for the next selection window until their six-month retention limit, unless you request deletion sooner. Giving Back selection is made by our team, not by an automated decision.
Consent can be withdrawn without a retrospective charge for a complimentary clean. We stop future use and remove content under our control where required; we cannot guarantee removal of copies independently shared by others.
5. How we protect and share information
We use restricted-access cloud storage for applications and private photos. Photo links sent to the team are temporary and should not be forwarded. Website information is transferred over HTTPS. Access is restricted to people and service providers who need it to deliver services or operate the website.
Our providers support website hosting, cloud storage, app email delivery and, only with your permission, Google Analytics. The optional service matcher also uses an AI processing provider. We do not sell your information or use these application emails for newsletters or promotions. If information is transferred outside the UK, appropriate safeguards must be used, such as adequacy arrangements or approved contractual safeguards. Contact us for details of providers and applicable safeguards.
6. How long we keep information
Client financial records and invoices: seven years, subject to applicable legal obligations. These records are managed separately from this website's enquiry forms.
Enquiries that do not become clients: twelve months, then deleted. If an enquiry becomes a client, we keep the necessary service information for the relevant contract and record-keeping purposes.
Unselected Giving Back applications and property photos: no longer than six months. Selected media is retained for the duration of your consent and deleted when no longer needed or when consent is withdrawn, unless another lawful obligation requires retention of a particular record.
Automated website retention checks run daily. We also apply the same retention rules to copies held in our business inbox and other records. Backup copies may remain until the provider's normal backup cycle expires and are not used for ordinary business activity.
7. Cookies and optional analytics
We use essential technology to operate the site and remember your cookie choice. Google Analytics 4 is disabled until you choose Accept Analytics. Essential Only keeps optional analytics disabled. Your preference is stored locally under cyc_cookie_consent as accepted or declined; it is not a marketing preference.
With permission, analytics records page visits, confirmed form submissions and phone or WhatsApp clicks to help us understand website use. We do not send your form answers, name, address, email, telephone or application photos to Google Analytics. Google may process device and usage data under its own privacy information. Analytics cookies such as _ga can persist for up to two years, depending on Google's configuration.
You can reopen Cookie preferences on this page at any time to change your choice. Declining analytics does not prevent you using the site or submitting a form.
8. Your rights and complaints
Depending on the lawful basis and circumstances, you may ask to access, correct or erase your data, restrict or object to processing, receive a portable copy or withdraw consent. Email info@cleanyourclutterltd.com. We may need to verify your identity and will normally respond within one month. Any lawful extension will be explained to you.
You can complain to the Information Commissioner's Office at ico.org.uk or telephone 0303 123 1113. We would welcome the opportunity to address your concern first. This policy was updated on 7 November 2026.
